ChatGPT for business: choosing a plan for a small firm

Updated on:
Updated by: Ciaran Connolly

Choosing ChatGPT for business is all about ownership of the account and deciding what happens to the data your staff types in. if the business is just one trader, then a Plus account will serve them well. However, if two or more people will be handling customer records, then ChatGPT Business is the ideal choice, not to mention that a business account is automatically excluded for model training. Profile Tree helps UK businesses choose the best model for them and use it to the best of its abilities.

What ChatGPT does well and where it stops

ChatGPT drafts and summarises text far faster than a person can, and it does none of your strategic thinking for you. It is a large language model (software trained on huge amounts of text so that it can predict and write language) built by OpenAI, and it can read long documents and work through data you give it. For an owner with no spare hours, it behaves like a quick assistant that never clocks off.

This short video sets out where the tool earns its keep in a small company.

The jobs where it saves the most time are the repetitive ones: replying to routine enquiries, summarising meeting notes, rewriting product descriptions and turning a long supplier contract into a one-page summary. We cover these in more depth in our article on practical ways to use ChatGPT day to day. The owners who get value from it treat it as a drafting aid with a person still signing off the output, and that habit is learned. It is also why AI training for small businesses tends to pay back sooner than another subscription does.

The limits matter as much as the strengths. The model does not know what happened this week unless it searches the web, and it knows nothing about your customers or your prices unless you tell it. Any figure it produces, and anything time sensitive, needs checking against a real source before it leaves your business. Getting your own firm recommended inside ChatGPT’s answers is a separate job again, explained in our piece on getting your business recommended by ChatGPT.

Five criteria for choosing a ChatGPT setup

Judge the plans on account ownership, data handling, sharing, usage limits and admin controls, and look at price last. The paid tiers sit close together on price, so cost rarely decides the question on its own.

Account ownership

If each member of staff uses a personal login, the business controls none of those accounts. OpenAI designs its Free, Go, Plus and Pro plans for individuals, while Business starts at two users and gives the company a workspace that it owns. When someone leaves a team on personal accounts, their chat history and their saved prompts go with them.

Default data handling

On the individual plans, the content you type can be used to improve OpenAI’s models unless the user switches that setting off. On Business and Enterprise, OpenAI states that it does not train on your business data by default. For most UK firms this single difference is the reason to move, because it removes the risk of a member of staff forgetting to change a setting before pasting in a customer complaint.

Sharing and custom GPTs

A custom GPT is a version of ChatGPT loaded with your own documents and instructions, so that staff get consistent answers without writing a long prompt each time. On Plus or Pro, one person can build one for their own use. Business lets you share them across the workspace, along with company knowledge, a Business feature for drawing on your own company information.

Usage limits

Heavy daily users hit message limits on the standard tiers. OpenAI now sells extra headroom separately, through its Pro tiers for individuals and a Premium seat inside Business, so a team can pay for more usage only for the people who need it.

Admin and compliance

Business includes single sign-on (staff log in with their existing company account), an admin console, multi-factor authentication and SOC 2 Type 2, an independent audit of security controls. Enterprise adds SCIM (automatic adding and removing of users from your staff directory), role-based access controls, enterprise key management and data residency, which lets a firm keep its data stored in a chosen region. OpenAI lists the UK among its ten Enterprise data residency regions.

How the ChatGPT plans compare for a small business

Most small firms end up on Plus or Business Standard, and the table shows why. On Free, Go, Plus and Pro, your content can be used for model training unless you opt out; on Business or Enterprise it is excluded by default. Prices are OpenAI’s published list figures in US dollars, before VAT.

PlanWho it suitsPublished priceThe detail that usually decides it
FreeTesting prompts before you commit$0No custom GPT creation, and limited file uploads and deep research
GoLight personal useBelow Plus; $8 a month in the USHigher limits than Free, but without the reasoning models in Plus
PlusA freelancer or solo marketer using AI daily$20 a monthThe first individual tier with the advanced reasoning models and expanded deep research
ProA heavy individual user working with AI for hours a dayFrom $100 a monthBought for usage headroom, and worth it only once limits have actually stopped work
Business, Standard seatTeams handling customer or financial data$20 per seat monthly on an annual contract, $25 billed monthlyAdmin console, single sign-on, shared custom GPTs and company knowledge
Business, Premium seatThe heaviest users within that team$100 per seat monthly billed yearly, $125 on monthly billingFive times the Standard usage with no five-hour limit
EnterpriseRegulated or larger organisationsCustom, by quoteSCIM, role-based access, enterprise key management and data residency, including a UK region

Plan names, prices and limits in this category change several times a year. Check the figures on OpenAI’s business pricing page before you buy, and treat this table as a guide to how the plans differ.

ChatGPT Plus and ChatGPT Business compared for a team

For a team, Business usually wins, because on yearly billing a Standard seat costs the same per person as a Plus subscription. Both give access to the models most small firms need for everyday drafting and summarising. What Business adds is a workspace the company owns, the default position on training, and the ability to share custom tools and company knowledge between colleagues.

Plus still makes sense for anyone working alone. Business requires at least two users, so someone trading on their own would be paying for a second seat nobody uses, and the month-to-month Business rate of $25 a seat is higher than Plus. A freelancer who handles sensitive client data can turn off model training in the Plus settings and get most of the same protection.

Seat types can be mixed inside one Business workspace. OpenAI introduced Premium seats for ChatGPT Business in August 2026, at $100 a seat on annual terms, with five times the usage of Standard. In many small teams, one or two people do most of the heavy work, so they get Premium seats and everyone else stays on Standard.

What ChatGPT for business costs in the UK

Budget for the US dollar list price, then check how VAT applies to your account before you commit. OpenAI publishes its prices in dollars, so the sterling amount on your invoice moves with the exchange rate. VAT treatment depends on whether you add your UK VAT number to the account, so check the first invoice and confirm the position with your accountant.

The billing period changes the total more than most owners expect. A five-person team on Business Standard seats billed annually pays $1,200 a year before VAT, which matches five separate Plus subscriptions over twelve months. The same team on monthly billing spends $1,500 a year, so committing to annual billing saves $300 on a team of that size. Monthly billing suits a firm still testing whether the tool will stick; once two or three people use it every week, the annual contract is the cheaper route.

What changes when you move off personal accounts

Control and data handling change on the first day. An admin adds and removes people, billing sits in one place, and work stays with the business when someone leaves. The training position also flips: on Business, conversations are excluded from model training by default, where individual plans depend on each user switching training off for themselves.

This video walks through what a company gains when it moves its staff onto one workspace.

Sharing is the change people underestimate. A custom GPT built on a personal Plus account helps its owner, while the same tool shared across a workspace changes how a whole team answers a question it gets every week. Before you roll anything out that touches customer records or staff details, read the ICO guidance on AI and data protection and check the date on the page, because the Information Commissioner’s Office expects to update it as technology and the law change. Putting an AI chatbot on your website is a separate decision with its own UK GDPR questions (the UK’s data protection rules), since customers then talk to the tool directly.

When a custom GPT is worth building

Build one when the same question gets answered by different people in different words. A professional services firm might load its contract templates and standard clauses, so that every first draft starts from the approved wording. A retailer might load its product catalogue and returns policy, so that staff answering customer emails give the same answer every time.

No coding is involved, and on a paid plan the build itself is quick. The real work is deciding what the tool must refuse to answer and who checks what it produces. Firms that skip those decisions usually find nobody is using the tool a month later, because staff stopped trusting what it said.

A sensible first month with ChatGPT

Start small: pick one weekly task, give it to one person, and decide in advance how you will judge the result. Good first tasks are the slow, repetitive ones, such as enquiry replies or meeting notes. Give that person a paid individual plan for two weeks and ask them to save every prompt that produced something usable.

This video covers how to plan that first month.

If more colleagues then want access, or the work starts to touch customer data, move to a Business workspace before you scale up. Add a short written rule on what must never be pasted in, and name the person who checks output before it is published or sent. Our guide to training your staff on AI tools sets out how to take that from a single tester to the whole team.

Ciaran Connolly, founder of ProfileTree, puts it this way: “The businesses getting results from ChatGPT are the ones that put it into one process that matters to them and measured what changed. The ones that bought a seat for everyone and hoped for the best are usually back where they started six months later. ProfileTree’s AI training for SMEs in Northern Ireland teaches the first approach, because it is the only one we have seen work.”

Getting your team trained to use ChatGPT well

Choosing the plan is the easy part, and the value comes from staff using the tool consistently on the right jobs with someone checking the output. ProfileTree is a Belfast web design and digital marketing agency, founded in 2011 and based at the McSweeney Centre, and we train teams across Northern Ireland, the Republic of Ireland and Great Britain to do exactly that. Sessions usually start with a short review of where AI will save your team time and where it is likely to create rework, then move on to hands-on practice with your own tasks.

Businesses in and around Belfast can book AI training Belfast sessions for their team, and training starts from £350 plus VAT. Get in touch to arrange a session for your staff.

Frequently asked questions

Is the free version of ChatGPT good enough for business use?

It is good enough for testing prompts, but not for running business work. Uploads are limited, and OpenAI may train on what you type unless you opt out, so move to a paid plan before anyone enters customer details.

What is the difference between ChatGPT Plus and ChatGPT Business?

Plus is a personal subscription, while Business is a workspace the company owns. Business adds an admin console, shared custom GPTs and no training on your data, at the same per-seat price as Plus on yearly billing.

How much does ChatGPT Business cost in the UK?

A Standard seat costs $20 per user per month billed annually or $25 billed monthly, and a Premium seat costs $100 on annual billing. OpenAI sets these prices in US dollars, so the sterling cost moves with the exchange rate.

Can a one person business use ChatGPT Business?

No, ChatGPT Business needs at least two users. A sole trader is better served by Plus with model training switched off, moving to Business when a second person joins.

Is it safe to put customer data into ChatGPT?

Yes, provided it goes into a Business or Enterprise account, where OpenAI does not train on your data by default. Keep it out of personal accounts, and agree a written rule on what staff may paste in before anyone starts.
