Instagram Reels Marketing for Small Businesses

Updated on:
Updated by: Ciaran Connolly

Instagram Reels marketing uses short vertical video to reach people who don’t follow you. Reach depends on three signals Instagram has named: watch time, likes per reach, and sends per reach. Most business Reels can be filmed on a phone. Judge them on sends, profile visits, and enquiries, not views.

Most small business owners who give up on Reels do so for the same reason. They post six videos, watch the view counts land somewhere between forty and two hundred, and conclude the format doesn’t work for a business like theirs. The videos were probably fine. The problem is usually that nobody told them how the reach mechanic actually operates, what a realistic number looks like at their account size, or which figure in the app is worth reading.

Three things worth knowing before you plan anything:

  • Instagram has publicly named the three signals that matter most for ranking, and comments are not among them.
  • Reels longer than three minutes stop being recommended to people who don’t follow you, whatever the technical maximum says.
  • Since April 2026, accounts that mostly repost other people’s content lose recommendation eligibility entirely.

How Reels reach works now

Reels are the main way a business account gets in front of strangers. Instagram passed three billion monthly users in September 2025, and Adam Mosseri’s own explanation of where that came from was blunt: almost all recent growth has been driven by DMs, Reels, and recommendations. The following graph matters less every year. The recommendation systems matter more.

In January 2025, Mosseri named the three signals that carry the most weight for Reels ranking: watch time, likes and sends. His practical instruction to creators was to watch average watch time, likes per reach and sends per reach. He added one refinement worth holding onto. Likes count for slightly more when content reaches your own followers; sends count for slightly more when it reaches people who don’t follow you. Since reaching strangers is the whole point of the format for a business, sends are the number to obsess over.

Notice what’s missing from that list. Comments are absent. So is any published weighting. You will find guides claiming that a send is worth three to five times a like, or that a fifteen-second Reel watched three times outranks a sixty-second one watched once. Instagram has never published a multiplier or a threshold for any of this. Those figures are invented, and planning a content calendar around invented precision is how businesses waste six months. Getting the underlying strategy right first is the point of a proper social media marketing plan, not a posting habit.

Four changes since late 2025 have altered how reach actually behaves:

ChangeDateWhat it means for a business account
Hashtag capDecember 2025Five hashtags per post, maximum. They signal topic; they never were a reach lever
Your AlgorithmReels Dec 2025, Feed June 2026Users edit the topics they’re shown, and recommended posts carry a label naming the topic that surfaced them
Originality rules extendedApril 2026Accounts that regularly repost third-party content without material edits stop being recommended across photos, carousels and Reels
Google indexing and reportingJuly 2025, July 2026Public professional content is indexable by Google by default, and Search Console now reports which Google queries surface it

The originality change is the one that catches small businesses out. Meta’s wording is unusually specific: additions to someone else’s content must meaningfully improve the source and add real value beyond restating or referencing it. A watermark, a border, subtitles, or a credit in the caption do not qualify. If a plumbing firm has been building its account by reposting satisfying-repair clips from elsewhere, that account is no longer being recommended to anyone. Follower reach is untouched, which is why the drop looks mysterious from the inside. The recovery path is defined: recommendations return once most of the trailing thirty days’ posts are original. Account Status shows where you stand, with an appeal route.

Length has its own trap. Instagram’s Help Centre now allows Reels of up to twenty minutes, and the caps have been raised repeatedly with uneven rollout, so two accounts can show different maximums on the same day. The number that governs reach hasn’t moved. Reels over three minutes aren’t placed in the Reels tab and aren’t recommended to non-followers. For the past 180 seconds, you’re making content for people who already follow you.

Which Reel formats earn attention for a business

Start with the work. The formats that perform for trades, professional services and independent retailers in Northern Ireland are almost always documentation rather than production: the job being done, the question being answered, the thing being made.

The job on camera. A floor being laid, a cake being assembled, a hedge going from overgrown to finished. Before-and-after has an obvious payoff, which is exactly why people finish watching and send it to someone who needs the same job done.

One real question, answered properly. Take a question a customer actually asked this week and answer it in forty seconds. An accountant explaining what a sole trader can claim for a home office earns more shares than any trend-led clip, because sending it to a friend who needs the answer is a useful act.

The walkthrough. Screen recordings, product demonstrations, a quick tour of a workshop or a van setup. These carry information, and information is what people forward.

The founder explaining a decision. Why you don’t take on a certain type of job. Why your quotes are structured the way they are. This builds the kind of account recognition that survives algorithm changes, and it’s difficult to imitate.

Carousels deserve a mention here because the boundary moved. Mosseri has confirmed that adding music to a carousel makes it eligible for Reels distribution, not just the main feed. That gives a well-built Instagram carousel a second route to non-followers without a camera being involved at all. For retailers, the same logic extends into Instagram’s shopping and social commerce features, where a Reel is the front door, and the product tag is the path.

Length is where most planning goes wrong, so it’s worth looking at the benchmark data instead of guessing. Socialinsider analysed six million Instagram Reels from brands active between January and June 2026:

Reel lengthEngagement rateMedian views
Under 30s0.28%4,700
30 to 45s0.30%8,564
45 to 60s0.35%10,374
60 to 90s0.30%9,790
90 to 120s0.30%8,000
120 to 180s0.33%9,000
Over 180s0.15%4,428

Two findings contradict the common advice. Very short Reels are not the safest bet: under thirty seconds pulled less than half the median views of the 45 to 60 second bracket. And performance holds up reasonably well right across the thirty-second to three-minute range before falling off a cliff past 180 seconds, which lines up exactly with the loss of non-follower distribution. Forty-five to sixty seconds is a sensible default, not a rule.

What production actually takes on a phone

Less than most people assume, and more than the “just film it” advice suggests.

The kit is a phone, a window, and something to stand the phone on. Daylight from the side beats any ring light. Audio is the one place to spend money, because viewers forgive a soft-focus shot and abandon a Reel with echoey sound within seconds. A clip-on microphone at £15 to £30 solves it, or hold the phone close and speak normally.

Editing no longer requires a subscription. Meta’s Edits app launched globally in April 2025, is free on iOS and Android, exports without a watermark, and includes a teleprompter, automatic captions, and direct publishing to Reels. Captions are not optional, whatever tool you use. A large share of viewers watch with sound off, and a Reel that requires audio to make sense loses them in the first two seconds.

The realistic constraint isn’t equipment; it’s batching. Filming one Reel takes about twenty minutes once you factor in setting up, forgetting your line, and doing it again. Filming five in a single session takes closer to an hour, because the setup cost is paid once. One afternoon a month is a workable content operation for a business with no dedicated marketing person.

“The businesses that stick with Reels are the ones that stopped treating it as a production job. Film five in an hour on a Tuesday, schedule them, get back to work. The ones that book a crew for every video quietly stop after two months, because the cost per post never made sense.” Ciaran Connolly, founder, ProfileTree

There’s a point where that changes. Product launches, recruitment films, anything that will run as a paid asset or sit on a website for two years justifies proper lighting, a second camera and a script. Those are different jobs with different economics, and video production is worth commissioning for those specifically, not as a blanket approach to social content.

An honest posting rhythm

Two Reels a week that you can sustain for six months will beat daily posting for three weeks, every time. This is not a motivational point. Recommendation systems need a body of content from your account to learn what you’re about and who to show it to, and a three-week burst followed by silence gives them nothing to work with.

Trial Reels make the rhythm easier to sustain, and they remain badly underused. Launched by Meta in December 2024 for public accounts with at least 1,000 followers, they publish a Reel to non-followers only. Your own audience never sees it unless you choose to share it. Performance data comes back after roughly twenty-four hours, and a Reel that works can be pushed to followers with one tap. Instagram added scheduling for them in February 2026, so a week of tests can be set up in one sitting. For a business worried about looking amateurish in front of existing customers, that removes most of the risk from experimenting.

Reposts, which launched globally in August 2025, give a second route. A reposted Reel reaches that person’s followers even if they don’t follow you. Earning reposts is a different skill from posting, and it comes back to the same thing sends do: make something worth passing on.

Ignore posting-time folklore. Test your own account, look at when your audience is active, and move on to a question that matters more. The wider content calendar decisions are covered in more depth alongside the rest of the recent Instagram platform changes.

Measuring whether Reels earn their effort

Views are the least useful number in the app, which is unfortunate, because views became Instagram’s primary metric in August 2024 and now head every summary screen. A Reel with 20,000 views and no profile visits has done nothing for the business.

Read these instead, in this order:

  1. Sends per reach. Divide sends by reach and multiply by one hundred. Instagram doesn’t display it as a single figure, so calculate it. This is the number Mosseri explicitly told creators to watch, and it’s the one that predicts reach to strangers.
  2. Average watch time. Not completion rate, not views. How long people actually stayed.
  3. Profile visits from the Reel. The bridge between being watched and being considered.
  4. Follows and DMs. Small numbers, high meaning.
  5. Enquiries. Ask new customers where they found you. The answer will surprise you in both directions.

Google Search Console added something genuinely new in July 2026 that most SMEs haven’t picked up on. Platform properties now let an Instagram account see clicks, impressions, and the Google queries that surface its posts on Search, with no website required. Public content from professional accounts has been indexable by Google by default since July 2025. That makes Reels a search asset as well as a social one, measurable end to end for the first time.

Give it ninety days before judging. A fortnight of data tells you nothing, and the temptation to change approach every two weeks is what kills most small business accounts.

What happens after someone watches

A Reel doing its job hands the viewer to your profile, and that’s where most small business accounts lose them. The reach problem gets all the attention. The ten seconds after the tap gets almost none.

Three things decide whether a stranger who liked your video turns into an enquiry. The bio has to say what you do and where, in plain words, because someone arriving from a video about kitchen worktops has no idea whether you work in Belfast or Brisbane. The top row of the grid has to make sense to a first-time visitor, not a returning follower. And there has to be an obvious next step: a link, a booking page, or a clear invitation to send a message.

DMs are usually where it lands, and usually where it falls apart. A question left unanswered for four days is a lost job. If you’re going to post Reels, someone has to check the inbox daily. That’s part of the hour, not an extra on top of it.

Conclusion: Instagram Reels Marketing

Reels are worth the effort for businesses where the work is visual, where a customer question can be answered in under a minute, or where the owner is willing to be on camera occasionally. They’re a poor fit for businesses whose buyers are found through referral and procurement, and no amount of posting changes that. Be honest about which one you are.

If you go ahead, the commitment that works is an hour of filming a month, two posts a week, captions on everything, and a ninety-day review that looks at sends and enquiries instead of views. That’s a real ask for a business with three staff, and it’s the smallest version of the format that produces anything. Anything less than that isn’t a light-touch approach; it’s just noise you’re paying for in time.

FAQs

Are Reels worth it for a small business with no time?

Only if you can protect one hour a month. That hour, filming five Reels in a batch, covers five weeks of posting twice a fortnight. Below that, no. A short burst followed by six weeks of silence produces nothing, and the same hour spent on your Google Business Profile will do more.

How long should a business Reel be?

Forty-five to sixty seconds performs best in the benchmark data, with a usable window of thirty seconds to three minutes. Never cross 180 seconds for anything meant to reach new people, because longer Reels are not recommended to non-followers.

Do hashtags still help Reels reach?

No. Posts have been capped at five hashtags since December 2025, and Instagram’s own guidance has said for years that hashtags signal topic. Put keywords in the caption, not the comments.

Can I repost other people’s Reels to fill my content calendar?

Not without consequences. Since April 2026, accounts that regularly repost third-party content without material edits lose recommendation eligibility across photos, carousels and Reels. A watermark, border, subtitles, or caption credit does not count as a material edit.
